1. Services Provided

  • Indoor air quality solutions

Specific service details, scope of work, and pricing will be provided in a separate written estimate, invoice, or service agreement prior to the commencement of work.

 

2. Estimates and Pricing

  • All estimates provided are based on the information available at the time of inspection and are subject to change if additional issues are discovered once work begins.
  • Written estimates are typically valid for [30] days from the date issued unless otherwise stated.
  • Final pricing may vary based on unforeseen circumstances, including but not limited to hidden damage, code compliance requirements, or changes requested by the Customer.

3. Scheduling and Appointments

  • Appointments are scheduled based on availability and are subject to change due to weather, emergencies, or circumstances beyond our control.
  • We will make reasonable efforts to notify Customers of any changes to scheduled appointment times.
  • Customers are responsible for providing safe and reasonable access to the property and equipment requiring service.
  • A missed appointment or cancellation with less than [24] hours’ notice may result in a trip or cancellation fee.

 

4. Payment Terms

  • Payment is due upon completion of services unless otherwise agreed to in writing (e.g., for larger installation projects with a payment schedule).
  • We accept [cash, check, credit/debit cards, financing] as indicated at the time of service.
  • A deposit may be required for larger installation or equipment orders prior to scheduling work.

5. Warranties

  • Manufacturer Warranty: Equipment and parts installed by Scout Heating & Cooling may be covered by a separate manufacturer’s warranty. Customers are responsible for reviewing and, where applicable, registering manufacturer warranties.
  • Warranties do not cover damage resulting from misuse, neglect, unauthorized repairs, acts of God, or failure to perform recommended maintenance.
  • Warranty claims must be reported to Scout Heating & Cooling promptly upon discovery of an issue.

 

6. Customer Responsibilities

Customer agrees to:

 

  • Provide accurate information regarding the HVAC system, property, and any known issues.
  • Ensure clear and safe access to equipment, including attics, crawl spaces, and mechanical rooms.
  • Secure any pets during scheduled service visits.
  • Obtain necessary permissions (e.g., HOA approval, landlord consent) prior to requesting installation or major repair work.
  • Follow any manufacturer or technician-recommended maintenance schedules to preserve equipment performance and warranty validity.

 

7. Limitation of Liability

To the fullest extent permitted by law, Scout Heating & Cooling shall not be liable for any indirect, incidental, special, or consequential damages arising out of or related to the services provided, including but not limited to loss of use, loss of income, or property damage not directly caused by our negligence.

 

Our total liability for any claim arising from services rendered shall not exceed the amount paid by the Customer for the specific service giving rise to the claim.

 

8. Permits and Code Compliance

Where required, Scout Heating & Cooling will obtain necessary permits for installation work in accordance with local building codes. Additional fees for permits, inspections, or code-required upgrades will be communicated to the Customer prior to work being performed.

 

9. Cancellations and Refunds

  • Customers may cancel scheduled services by contacting our office at least [24] hours in advance.
  • Deposits for special-order equipment or custom installation work may be non-refundable once the order has been placed with a supplier.
  • Refunds, where applicable, will be processed within [X] business days of approval.

 

10. Website Use
